Call for Nominations, Election Guidelines, and Important Dates

The University of the Philippines Alumni Association of Hawaii (UPAAH) invites its members to participate in the upcoming elections and help shape the future of our alumni community. We encourage qualified members to step forward, nominate fellow alumni who are willing to serve, and exercise their right to vote.

Please review the following election timeline, nomination process, and campaign guidelines.

Important Dates

• November 18: Last day to submit nominations

• November 20–21: Online Elections via ElectionRunner.com

• November 23: Official Election Announcement and General Membership Meeting via Zoom

1. Nominations and Candidate Filing

Nomination Period: Until November 18

UPAAH members are encouraged to nominate qualified fellow alumni for available leadership positions. Members may also nominate themselves.

Before submitting a nomination on someone else's behalf, please obtain the nominee's consent to run for office. Written consent via email or text is preferred.

Nominators may submit the required candidate information on behalf of their nominees, provided the nominee has agreed to run and has supplied any required information or documentation. To simplify the process, prospective candidates are encouraged to complete the nomination form themselves.

The UPAAH Elections Committee will review nominations and verify candidate eligibility. Candidates who meet the qualifications and complete the required submissions will be included in the official candidate listing.

Deadline: November 18

2. Voter Eligibility and Membership

Membership eligibility deadline: November 18

Only members who meet UPAAH's membership and voting requirements, as established by the organization's bylaws and election rules, will be eligible to vote.

Members are encouraged to ensure that their membership is current and that their contact information, particularly their email address, is up to date so they can receive their electronic ballot.

Please complete any required membership renewal or payment by November 18 to allow time for eligibility verification.

3. Online Elections

November 20–21 | ElectionRunner.com

UPAAH will conduct its elections electronically through ElectionRunner.com, an online voting platform.

Eligible voters will receive instructions and their voting credentials through the email address on file. Members should watch their inbox, including their spam or junk folder, for the official voting email.

The online voting period will run from November 20 through November 21. Members must submit their ballots before the official closing time specified in the election notice.

Electronic voting is designed to be convenient and accessible, allowing members to participate regardless of where they live.

Please follow the instructions provided with your ballot and do not share your voting credentials.

The Elections Committee will verify and tabulate the results in accordance with the established election procedures.

4. Election Results and General Membership Meeting

November 23 | Via Zoom

The official election results will be announced during the UPAAH General Membership Meeting on November 23 via Zoom.

Members are encouraged to attend as we recognize the candidates, welcome the incoming leadership, and discuss the continued work of our alumni association.

Zoom meeting details will be shared with members through official UPAAH communication channels.
